Position Summary
BCIT Advancement is seeking a regular, full-time (1.0 FTE) Development Assistant. This role supports the fundraising team’s efforts to raise donations to support students at BCIT and steward donors. The Development Assistant works across major and annual giving to provide professional and friendly donor service, assistance with development of a variety of donor communications including proposals, contribution agreements, reports and presentations, maintenance of accurate donor records, and meeting and event support. The Development Assistant provides a wide variety of activities to support the Development Team’s efforts to meet the Foundation’s goals and objectives. Responsibilities include donor services, maintaining accurate donor records, assisting with the development of a variety of communications including proposals, annual appeals, donor agreements, reports and presentations; tracking priority projects and donor agreements; calendar support; and providing meeting and event support.
Duties & Responsibilities
DUTIES AND RESPONSIBILITIES:

  • Provides administrative support in the development and implementation of the Development Team’s annual, major, planned giving campaigns and stewardship activities.
  • Provides administrative support, including scheduling, preparing meeting agendas and materials, meeting minutes and distribution.
  • Acts as recording secretary on committees chaired by staff and volunteers, as required.
  • Provides event support as required, including calendar coordination, room bookings, catering, parking, and preparing materials.
  • Provides exceptional customer service and acts as a first point of contact for inquiries from donors, volunteers, internal and external stakeholders. Determines nature and importance of all inquiries and follows up with appropriate action, resolves problems and responds to questions as appropriate.
  • Drafts, edits and finalizes a variety of communications including donor correspondence, acknowledgment letters, proposals, donor agreements, presentations, reports and other printed/digital materials.
  • Coordinates the distribution list process for key donor communication mailings.
  • Assists in prioritizing projects and provides scheduling support for the Development team as required.
  • Assists in providing high quality donor stewardship to donors through timely appreciation calls, sending cards, and following up to donor gifts and inquiries.
  • Tracks departmental priorities including donor agreements, campaign goals and initiatives, multi-year pledges and actions, bringing forward when necessary.
  • Utilizes specialized fundraising software (e.g. Raiser’s Edge) to maintain and update donor contact information; pull queries and reports as required; record donor activity and compile donor briefs.
  • Provides departmental administrative support related to annual budgeting, planning processes and meetings.
  • Arranges travel, accommodations, registration for conferences/seminars and relevant materials for members of the Development team.
  • Provides assistance and backup support to other administrative staff during absences or peak periods as required.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes related duties as assigned consistent with the job grade for this position.
Qualifications
QUALIFICATIONS:

Definition:

Education:
  • Grade 12 plus additional 2-year specialized training in a full-time program from a post- secondary institution in business, communications, fundraising or related discipline.

Experience:
  • Two years’ general experience plus two years’ recent experience in related role in a related fundraising environment.
  • Experience working with a wide variety of stakeholders including volunteers, board members and donors.

Software/Computer Application(s) and Expertise:
  • Formal training or proven experience using Microsoft Office Suite applications including: Outlook, Word, Excel, PowerPoint and Publisher.
  • Proven experience using Raiser’s Edge relationship management software.

Communication/Interpersonal Skills:
  • Exemplary organizational, communication (both verbal and written) and interpersonal skills.
  • Proven ability to establish and maintain effective working relationships, contribute effectively to the team, and to work independently with minimal supervision.
  • Ability to maintain confidentiality and exercise considerable judgment, tact, and discretion with all sensitive and confidential information.
  • Ability to exercise independent judgment and exemplary discretion in making sensitive decisions and recommendations on operational and external stakeholder matters.
  • Demonstrated ability to identify problems, evaluate alternatives and make logical, reasoned decisions.
  • Delivers exceptional customer service, displaying exceptional judgment in determining the nature and importance of inquiries and following up with appropriate action, resolving problems and answering questions as appropriate.

Administrative Skills:
  • Knowledge of Revenue Canada Guidelines, FOIPOP (Freedom of Information and Protection of Privacy), and Records Management.
  • Proven competency in word processing and ability to produce documentation and meeting minutes for internal and external clients with accurate keyboard skills of 50 WPM.
  • Ability to organize and prioritize workloads to meet established deadlines and keep several projects progressing to completion simultaneously with minimal or no direction.
  • Experience and skill in formatting documents, proofreading, wordsmithing and generating polished, professional documents and presentations.

Other Skills/Abilities:
  • Acts as an ambassador for the Institute and represents the BCIT Foundation in a professional manner.
  • Demonstrated ability to deal effectively with pressure, set priorities, demonstrate initiative and handle multiple projects.
  • Must have the ability to work a flexible schedule including evenings and weekends.

Salary Range Salary Grade 7: $57,489 - $62,612 per annum.
