Position Summary
BCIT’s Student Operations is seeking a regular, full-time (1.0 FTE) Building Maintenance Coordinator. This position is responsible for the coordination and performing of maintenance in the campus residences including hands-on repairs, organizing and handling logistics with stakeholders, renovations, and maintenance of facilities and equipment in a timely, organized and cost effective manner. As a key member of the Student Housing team, the Coordinator provides timely communication with residents and Residence Advisors regarding repairs and other facility related issues and ensures that a high level of service standards are met in carrying out the day to day operational requirements of the position.
Duties & Responsibilities
DUTIES AND RESPONSIBILITIES:

Building, Systems, Furnishings and Equipment Maintenance, Repair and Renovation
  • Responds to trouble calls and takes corrective action including: troubleshooting a wide variety of issues, and ensuring timely communication with residents and Residence Advisors regarding repairs and other work that may affect the facility or living space.
  • Establishes priorities and requirements for the annual residence maintenance plan.
  • Conducts and coordinates preventative maintenance on interconnected, multiple systems. Inspects for and identifies deficiencies, takes corrective action and maintains appropriate records.
  • Builds rapport with individuals from a variety of departments both within and external to BCIT to ensure an efficient and positive working environment for all stakeholders.
  • Ensures that student residents, who may be experiencing challenges with their living situation, are made aware of the potential complexities regarding the resolution of issues and concerns; exercises diplomacy and professionalism in dealing with student issues and redirects unrelated concerns to the Housing Office.
  • Keeps current and continually learns about changes to regulatory requirements, standards and codes, advances in technology, systems and equipment through communicating with local suppliers, on-the-job training, and adapting older systems to work with new components.
  • Handles installation, repairs and maintenance of, but not limited to: cabinets, counters, furniture, millwork floors, doors, windows, ceilings, walls, steps, handrails, , windows, sashes, door fittings and hardware, tiles, and other housing structures.
  • Inspects, on a regular and consistent basis, building interior and exterior, grounds and landscaping; identifies areas requiring attention, prioritizes tasks and completes or refers, as needed.
  • Ensures that cleaning staff are meeting contractual standards and brings forwards any concerns or issues as appropriate, with corrective action taken, as needed.
  • Completes cyclical inspections of all residence facilities including bedrooms, suites and common areas when they become vacant, prepares painting, cleaning and repair lists; and takes action to ensure the living quarters are repaired and made ready for occupancy.
  • Reviews weekly and monthly building reports from the Residence Advisors, completes items identified and/or allocates work to appropriate resources. Provides regular activity reports to the Manager including information on trends, observations, ongoing or potential problems, and recommends solutions.
  • On an as required basis, responds to clogged outside drains and interior plumbing, and assists with snow removal and de-icing.

Project Administration and Coordination
  • Establishes and maintains repair and maintenance records for the residence including project scheduling, cost control and repair histories; in conjunction with the Housing Manager.
  • Utilizes the work request system to submit and track work requests to BCIT’s Facilities Department. Works closely with Facilities personnel and external contractors to ensure requests are resolved in a proper and timely manner.
  • Estimates labour and materials for refreshes, renovations, upgrades and other projects, including reviewing project drawings, sketches, and specifications and making recommendations for improvements.
  • Assists the Housing Manager to determine priorities and budgets for renovations, replacements, repairs and maintenance cycles, and in determining specifications for furnishings, equipment, products and supplies; provides technical advice to Manager; identifies recommends and implements improvements or cost savings in facilities related systems, procedures and processes.

Staff and Contractor Coordination
  • Trains, coaches and supervises assigned student staff.
  • Ensures that assigned students, employees, and other workers/contractors work in a safe manner per BCIT policies and procedures.
  • Coordinates contractors, sub trades and other repair and maintenance personnel working within the residence and on the residence grounds to ensure work assignments are done to standard, schedules are met, costs are minimized and the disruption to residents is minimized.

Materials and Supplies
  • Arranges for and organizes physical inventory of materials, supplies, parts and equipment to perform job specifications and to stock bedrooms and suites.

Related Duties
  • Maintains vigilant awareness of residence facilities to proactively identify and address problems.
  • Completes special projects from time to time related to the overall operations.
  • Shares on-call responsibilities for after hours and weekend facilities emergencies with the Manager.
  • Assists the Manager as required, and acts in their absence, regarding facilities problems and decisions.
  • In conjunction with the Manager, participates in emergency response preparedness activities and may participate on related committees.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP)
  • Undertakes other related duties as assigned, consistent with the job grade of this position.
Qualifications
QUALIFICATIONS:

Definition: The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications.

Education:
  • A valid Trades Qualification or an Interprovincial Ticket (Journey person status) in Joinery or Carpentry.

License(s)/ Certification(s):
  • Valid BC Driver’s Licence is required.

Experience:
  • Two years general trades experience plus four years’ experience in the building trades industry, preferably in a large residential or hotel setting, including at least one year of experience in handling a variety of hands-on facilities repairs and maintenance.

Software/Computer Application(s) and Expertise:
  • Basic level experience and proficiency with email, the internet, Word and Excel is required.

Communication/Interpersonal Skills:
  • Excellent verbal and written communication skills
  • Ability to work effectively independently and without direction, but also to work collaboratively with others and as part of a team.
  • Strong leadership skills with the ability to communicate and work with a diverse group, including young adults.

Administrative Skills:
  • Keyboarding experience required
  • Demonstrated ability to maintain confidentiality and deal with sensitive issues in a professional manner.

Other Skills/Abilities:
  • Ability to assess blueprints and make recommendations for specific trade requirements.
  • Proven ability to trouble shoot and resolve issues in a timely and efficient manner
  • Superb organizational, coordination, and follow-up skills.
  • High attention to detail and systematic approach to problem solving.
  • Proven ability to handle interruptions, multiple priorities and changing demands.
  • Proven ability to exercise good judgment and remain calm.
  • Demonstrated skill to be observant and constantly aware of surroundings to ensure the facility is maintained to a high standard.

Salary Range Salary Grade 9: $57,937 - $62,941 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
